Ogilvie Fleet Find The ‘Key2’ Significant Savings

Jaama, the fleet software and occupational road safety specialist, have had their Key2 internet-based software selected by leasing and fleet management specialist Ogilvie Fleet, who operate a UK-wide fleet in excess of 9,000 cars and light commercial vehicles and have reported significant administrative savings and improved management information, alongside driver and fleet decision-maker value-added benefits following its adoption of ’s system.

Since the ‘live’ launch of the multi award-winning Key2 leasing and vehicle management system Jaama has continually updated the software to offer a range of additional services to further improve efficiencies for Ogilvie Fleet and its customers including: an internet-based Broker Quotation module which enables Ogilvie Fleet to provide its broker partners with contract hire rental quotations online; a ‘Data Staging’ module which takes external vehicle data into a preview area and allows data manipulation and ‘what-if’ scenarios to be explored prior to publishing the data to the live environment; a supplier portal facility which enables Ogilvie Fleet suppliers to manage vehicle orders and rapidly exchange information with the Ogilvie customer services team thus ensuring that vehicle deliveries are managed efficiently and that clients are constantly kept informed of the progress of their order.

Managing director Gordon Stephen, said: “It was clear that we needed a far more intuitive vehicle management system that would provide interactive access to data and data management tools for our customers, our suppliers and internally.

“We now have in place a modern, hi-tech web-based system that delivers significant transparency to what we do by managing data updates by exception. All ‘documents’ are now generated in a paperless environment and held in electronic format in a common database. This, together with integrated Email in all modules in the system, has eliminated vast swathes of paper trails and significantly reduced fleet administration.

“The introduction of the Key2 system has provided Ogilvie Fleet with a technological breakthrough. It has improved fleet administrative efficiencies across the board and with the ongoing support and training from Jaama we expect benefits to increase further. Jaama had, and continues to have, a willingness to understand our business requirements and to work closely with us to achieve those requirements.”

Jaama Managing Director Jason Francis said: “The online functionality delivered by our Key2 product range is extremely broad and enables Ogilvie Fleet to deliver a significantly enhanced service to customers while benefiting from internal administrative savings.

“Ogilvie Fleet recognised that IT investment was crucial to the company’s success in securing new contracts as it needed to increase its own efficiencies and deliver the flexible solutions that fleet decision-makers and company car drivers require.

“As Ogilvie Fleet looks to increase the depth of functionality and services to customers, Jaama will enhance existing modules and develop new ones to ensure leading-edge service is maintained. We are already scoping new modules and making them available for testing with a view to bringing them on stream in the near future.

“The challenge for Jaama through investment in IT development is to continue to reduce the administration burden for our customers while further aiding top-level fleet decision making through technology.”
